CANCELLATION POLICY

Our cancellation policy varies depending on the type of service and timing of cancellation. Please review the specific terms below based on your booking type.

Travel Packages and Tours:

  • Early cancellations (well in advance): Maximum refund possible minus processing fees
  • Moderate advance cancellations: Partial refund available
  • Short notice cancellations: Limited refund available
  • Last-minute cancellations: Minimal or no refund available

Event Management Services:

  • Well-advance cancellations: Substantial refund available
  • Moderate advance cancellations: Partial refund available
  • Short notice cancellations: Limited refund available
  • Last-minute cancellations: Minimal or no refund available

To be eligible for a cancellation, you must notify us in writing via email at bookings@coast2coasttours.in with your booking reference number.


NON-REFUNDABLE SERVICES

Several types of bookings are exempt from being cancelled or refunded:

  • Flight tickets (subject to airline policies)
  • Hotel bookings during peak seasons or special events
  • Third-party vendor services already confirmed
  • Travel insurance premiums
  • Visa processing fees
  • Custom itinerary planning fees

Additional non-refundable items:

  • Gift vouchers and certificates
  • Last-minute bookings (made within 15 days of travel)
  • Specialized tour packages with advance vendor commitments

REFUND PROCESSING

To complete your cancellation, we require your original booking confirmation and identification.

There are certain situations where only partial refunds are granted:

  • Bookings with confirmed third-party vendor commitments
  • Services already partially utilized or commenced
  • Bookings where third-party suppliers impose their own cancellation penalties
  • Any booking that is cancelled during peak travel seasons

REFUND TIMELINE

Once your cancellation request is received and processed, we will send you an email to notify you that we have received your cancellation request. We will also notify you of the approval or rejection of your refund based on our policy terms.

If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within the specified timeframe as per our policy.


LATE OR MISSING REFUNDS

If you haven’t received a refund yet, first check your bank account again.

Then contact your credit card company, it may take some time before your refund is officially posted.

Next contact your bank. There is often some processing time before a refund is posted.

PROMOTIONAL BOOKINGS

Only regular priced bookings may be eligible for refunds according to standard terms. Unfortunately, promotional packages, early bird offers, and discounted bookings may have different cancellation terms or may be non-refundable.


BOOKING MODIFICATIONS

We accommodate booking modifications when possible, subject to availability and supplier policies. Modification requests should be sent via email to bookings@coast2coasttours.in.

Modification Fees:

  • Name changes: Administrative fee per person (subject to supplier approval)
  • Date changes: Modification fee per booking plus any difference in service costs
  • Destination changes: Treated as new booking, original booking subject to cancellation policy

TRAVEL INSURANCE

We strongly recommend purchasing comprehensive travel insurance to protect against unforeseen circumstances that may require trip cancellation or interruption. Travel insurance can provide coverage beyond our standard cancellation policy.


FORCE MAJEURE & EXTRAORDINARY CIRCUMSTANCES

In cases of natural disasters, political unrest, pandemic restrictions, or other extraordinary circumstances beyond our control that prevent travel, we will work with clients on a case-by-case basis to provide:

  • Future travel credit (with extended validity period)
  • Refund of recoverable amounts from suppliers
  • Rebooking options when circumstances improve
